Microsoft Copilot vs ChatGPT for Work (2026)

By Botvana Team ·

For most companies, the Microsoft Copilot vs ChatGPT question isn't about which AI is smarter. Both run on top-tier OpenAI models. It's about where your work lives. Copilot sits inside Word, Excel, Outlook and Teams and can read your company's emails and files. ChatGPT is a standalone assistant that's often faster to adopt and more flexible.

Below we compare the two for business use: pricing, features, data protection and the new usage-based billing that Microsoft is switching on this month. Prices come from Microsoft's and OpenAI's own pages, checked October 31 and November 1, 2026.

Microsoft 365 Copilot pricing explained

Microsoft's business pricing page lists three ways to get Copilot for small and mid-sized businesses (all per user per month, paid yearly):

  • Microsoft 365 Copilot Business (add-on): normally $21, discounted to $18 for the first year on orders between July 1 and December 31, 2026. It's only available to existing customers with an eligible Microsoft 365 business plan.
  • Microsoft 365 Business Standard with Copilot: $23.50.
  • Microsoft 365 Business Premium with Copilot: $32.

The new usage-based billing

Every Business plan card now says "usage-based billing for select advanced AI features". The comparison table marks Copilot Cowork, Copilot Autopilot and the Work IQ API for third-party agents as usage-based. CRN reports Microsoft said new Copilot Business licenses become consumption-enabled by default from November 2, but nothing is billed until an administrator creates a spending policy in the Microsoft 365 admin center. If you're an admin, set a budget before you let staff loose on the advanced agents.

There's also a free Microsoft Copilot app for personal use, but it doesn't have access to your company data.

ChatGPT Business pricing explained

OpenAI's Business plan is priced per user per month and starts at two users. According to OpenAI's Business overview (checked October 31, 2026), standard seats cost $25 per user per month, or $20 billed annually, and include Projects, Apps and company knowledge. Enterprise is priced through sales. Nonprofits can get up to 75% off Business or Enterprise through OpenAI for Nonprofits.

Individuals can also use ChatGPT Plus ($20/month), but for work data you should use Business or Enterprise, which include admin controls and business data commitments.

Features: where each one wins

Copilot wins on...

  • Working inside Office apps: drafting in Word, analysing in Excel, building decks in PowerPoint, summarising Outlook threads.
  • Meetings: Copilot in Teams can summarise meetings and list action items (a Teams license is required).
  • Your company context: answers grounded in your emails, chats and SharePoint files.
  • Agents for Microsoft shops: Researcher, Analyst and agent building with Copilot Studio.

ChatGPT wins on...

  • Flexibility: works the same whether you use Google Workspace, Microsoft 365 or neither.
  • Fast adoption: many employees already know the interface.
  • Breadth of tools: deep research, image creation, data analysis, Codex for developers and custom GPTs.
  • Office extensions: ChatGPT now offers Excel, Word, PowerPoint and Google Sheets extensions too.

Data protection and admin controls

Both vendors offer business-grade protections on their business plans. Microsoft lists Enterprise Data Protection, management and compliance controls on its Copilot business plans. OpenAI says ChatGPT data is encrypted in transit (TLS 1.2) and at rest (AES-256), and business plans include admin controls.

Whichever you choose, set clear rules: which data staff may paste in, who can build agents, and which connected apps are allowed. Our guide to AI agent attacks on small businesses covers the risks of connecting AI to email and files.

Rolling it out

Start with a pilot group of five to ten people from different teams for a month. Ask them to log time saved on real tasks, such as meeting notes, first drafts and spreadsheet analysis. Then decide which roles get licenses. That approach avoids paying for seats nobody uses, a common complaint with workplace AI.

Some companies run both: Copilot for Office-heavy staff and ChatGPT for marketing, research or developers. Comparing other assistants too? See ChatGPT vs Gemini vs Claude and our look at Claude for small business.

Step by step: set up consistent instructions for your team

Whichever assistant you choose, answers get much better when everyone uses the same instructions about your company, tone and rules. Build them with the free System Prompt Builder:

  1. Open the builder and set the role, for example "You are an assistant for a 20-person accounting firm in Leeds".
  2. Describe the audience (clients, colleagues) and choose British or American spelling.
  3. Set tone and format: concise, bullet points for summaries, formal for client emails.
  4. Add rules: never invent figures, flag uncertainty, don't include client names in examples.
  5. Copy the result into ChatGPT custom instructions or a project, or into the instructions of a Copilot agent, and share it with the team.
